Offical business records are being stored in equipment sheds, shipping containers even in air conditioner ducts. In theses conditions records are vunerable to excessive environmental conditions and are often inacessable to staff. The most dramatic damage to your paper records can simply occur as a result of poor storage conditions.
Leaving paper work in plastic sleaves in high temperatures can cause mold always consider the following: heat and humidity, uv light, pollution, dust, dirt and air circulation. Your documents could shrink, discolour or even have insect damage if not stored correctly.
Records are the memory of the organisation that produced them. Like any memory not much is to be gained from the records unless they are maintained in an orderly fashion so that when they are required they can be retreived easily.
Many businesses feel that they cannot afford to keep them in prime office space so they are stored inadequately, storing records efficiently reduces cost, litigation exposure,  improves services and meets accountability commitments.
